Why business needs postal and courier services
A business must send letters, bills, cheques, documents and samples to customers, suppliers and offices in other places. Communication services make this possible. India Post (the Department of Posts) runs one of the largest postal networks in the world. Private courier companies also carry papers and packets.
Postal services: mail, registered post, parcel, Speed Post
Mail (ordinary post)
Postcards, inland letter cards and letters in envelopes. You post them in a letter box; they are sorted using the 6-digit PIN code (Postal Index Number) and delivered. Cheapest, but there is no proof of delivery.
Registered post
For important papers. The sender gets a receipt, the receiver signs when accepting it, and with an extra fee an acknowledgement due card comes back as proof. The post office pays limited compensation if it is lost.
Parcel
For sending goods. The packet is weighed and the charge depends on weight and distance. Parcels can be registered or insured for extra safety.
Speed Post
A fast, time-bound service of India Post for letters and parcels, with a tracking number you can check online. It reaches most towns in a promised number of days.
Other postal facilities
Money transfer (money order and electronic transfer), post office savings schemes, insurance and bill collection are also given by post offices.
Courier services
Courier companies are private firms that collect documents and packets from the sender's door and deliver them to the receiver's door, often the next day. They give tracking, proof of delivery and careful handling. They cost more than ordinary post and may not reach every remote village. Online shops use couriers for fast delivery.

Worked examples
1. A school must send original mark sheets to a board office and needs proof that they reached. Which service?
Registered post with acknowledgement due, or Speed Post. Both give proof; registered AD brings back a signed card.
2. A handicraft shop in Jaipur sends a 3 kg box of goods to a village customer in Assam. Which service suits it?
Parcel post (or Speed Post parcel): it is priced by weight and India Post reaches villages.
3. A lawyer must deliver a document in the same city by tomorrow morning and wants door pick-up. Which service?
Courier: door-to-door, next-day delivery with tracking.
4. Ordinary letters cost ₹5 each. A shop sends 120 greeting letters. Find the cost.
120 × ₹5 = ₹600. Mail is the cheapest way when no proof is needed.
Common mistakes
- Thinking ordinary mail gives proof of delivery. It does not; use registered post or Speed Post.
- Thinking Speed Post is a private courier. It is a service of India Post.
- Writing an address without the PIN code. Sorting depends on it, so the letter may be delayed.
- Believing courier reaches every village. India Post has the widest reach.
